Athletica Pilates ("Athletica", "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store and share your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to all personal information collected through our studio, our website (athleticapilates.com), our booking platform, and our communications with you.

2. What Information We Collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email address, phone number and, where relevant, emergency contact details.

  • Account and booking information — your booking history, attendance, membership or class pack details, and preferences.

  • Health information — information you provide about injuries, medical conditions, pregnancy or physical limitations, so our instructors can keep you safe and offer appropriate modifications. Health information is sensitive information under Australian privacy law and we only collect it with your consent.

  • Payment information — payment card or bank account details you provide when purchasing memberships, class packs, classes or retail products. Payments are processed securely through Mindbody, our booking and payment platform; we do not store your full card details on our own systems.

  • Website and marketing data — information collected through cookies and similar technologies when you visit our website, such as pages viewed and how you found us (see section 6).

3. How We Collect Information

We collect personal information when you:

  • create an account or make a booking through our booking platform;

  • complete our client waiver or intake forms at or before your first visit;

  • purchase a membership, class pack, gift voucher or retail product;

  • contact us by email, phone, social media or in person;

  • subscribe to our communications or participate in a promotion, workshop, event or retreat;

  • visit our website.

4. How We Use Your Information

We use your personal information to:

  • manage your bookings, memberships, class packs and account;

  • deliver classes and services safely, including tailoring instruction to any injuries or conditions you have told us about;

  • process payments and manage billing;

  • send you service communications such as booking confirmations, class reminders, waitlist notifications, timetable changes and account notices;

  • send you marketing communications about our classes, offers and events (you can opt out at any time);

  • improve our services, website and client experience;

  • comply with our legal obligations.

5. Who We Share Information With

We do not sell your personal information. We may share it with trusted third parties where reasonably necessary to run our business, including:

  • Mindbody — our booking and payment platform, which manages accounts, bookings and payment processing on our behalf;

  • payment processors and financial institutions;

  • email, SMS and marketing service providers;

  • IT and software providers who support our website and systems;

  • professional advisers and insurers;

  • government authorities where required by law.

Some of our service providers, including Mindbody, store data on servers located overseas (including in the United States). Where information is stored or processed overseas, we take reasonable steps to ensure it is handled consistently with Australian privacy law.

6. Cookies, Analytics & Advertising

Our website uses cookies and similar technologies to help it function, understand how visitors use the site, and measure the effectiveness of our advertising. This may include tools such as Google Analytics, Google Ads and the Meta (Facebook/Instagram) Pixel.

These tools may collect information such as your device type, browser, pages visited and general location. They may also be used to show you relevant ads on other platforms.

You can manage or disable cookies through your browser settings, and manage ad preferences directly through Google and Meta's ad settings.

7. How We Keep Your Information Secure

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure. This includes using reputable service providers, secure payment processing, and limiting access to personal information to those who need it.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we act promptly to address any suspected breach.

8. How Long We Keep Information

We keep personal information for as long as it is needed to provide our services, meet our legal obligations, or resolve disputes. When information is no longer required, we take reasonable steps to delete or de-identify it.

9. If Our Business Changes Hands

If Athletica Pilates is sold, transferred, merged or restructured, your personal information and account data (including booking and attendance history) may be transferred to the new owner or operator so your membership and bookings can continue without interruption. Any transfer will be conducted in accordance with the Privacy Act 1988 (Cth) and this Privacy Policy.

10. Accessing or Correcting Your Information

You may request access to the personal information we hold about you, or ask us to correct it, by emailing studio@athleticapilates.com. We will respond within a reasonable time. In limited circumstances we may need to refuse a request, and if so, we will explain why.

11. Marketing Opt-Out

You can opt out of marketing communications at any time using the unsubscribe link in our emails or by contacting us at studio@athleticapilates.com. You will continue to receive essential service communications relating to your bookings and account.

12. Making a Privacy Complaint

If you have a concern about how we have handled your personal information, please contact us first at studio@athleticapilates.com and we will do our best to resolve it.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

13. Changes to This Policy

We may update this Privacy Policy from time to time. The most current version will always be published on our website, with the effective date shown at the top.
